A

After-hours answering: After-hours answering is the handling of calls that come in outside normal business hours — nights, weekends, and holidays — so callers reach a response instead of a dead line or voicemail. It captures business that would otherwise be lost until morning.
AI receptionist: An AI receptionist is software that answers your business phone, holds a natural conversation with the caller, captures what they need, and sends you the details. It works around the clock without breaks, hold music, or a per-minute meter.
Answering service: An answering service is a service that answers your business calls when you’re unavailable, taking messages, booking appointments, or routing urgent matters to the right person. It ensures callers always reach a response instead of a dead line.
Appointment scheduling: Appointment scheduling is the process of booking a caller into an available time slot, ideally during the call itself, so an inquiry becomes a confirmed booking. It captures the customer while their intent is highest.
Auto attendant: An auto attendant is an automated voice system that greets callers and directs them to the right person, extension, or department, usually through a menu of options. It answers and sorts calls without a live operator.

Call forwarding: Call forwarding is a phone feature that redirects incoming calls from one number to another automatically. It lets your business line reach you on a mobile, another office, or a service no matter where you are.
Call overflow: Call overflow is the volume of calls that arrives when your main line is busy or your staff are already occupied. Overflow handling routes those extra calls to a backup so none ring out unanswered.
Call qualification: Call qualification is the process of asking an inbound caller targeted questions to determine whether they’re a good fit, what they need, and how urgently to respond. It separates ready-to-buy leads from tire-kickers and wrong numbers before anyone’s time is spent.
Call routing: Call routing is the process of directing each incoming call to the right person, team, or destination based on rules such as the time of day, the caller’s need, or who’s available. It gets callers to the right place faster.
Call screening: Call screening is the practice of identifying who is calling and why before deciding whether to connect, take a message, or route the call. It filters out interruptions so you only pick up the calls worth your time.
Conversational AI: Conversational AI is technology that lets software understand and respond in natural language, holding a genuine back-and-forth with a person rather than following a fixed script. It combines speech recognition, language understanding, and response generation.

First-call resolution: First-call resolution is the practice of fully handling a caller’s request during their first contact, without requiring a callback, transfer, or second attempt. It’s a core measure of how effective and satisfying your phone handling is.

I

IVR (interactive voice response): IVR, or interactive voice response, is automated phone technology that plays recorded prompts and responds to a caller’s keypad presses or spoken input. It guides callers through menus to route them or handle simple requests.

Lead intake: Lead intake is the process of collecting a new prospect’s essential details — name, contact information, and what they need — at the moment of first contact. It turns a raw inquiry into a structured record your team can act on.
Lead response time: Lead response time is the elapsed time between a prospect reaching out and your first reply. The faster you respond, the more likely you are to reach and win the lead, since interest fades quickly.
Lead scoring: Lead scoring is the practice of ranking prospects by how likely they are to become customers, based on signals like their stated need, budget, timing, and urgency. It tells you which leads to chase first.

Missed-call text-back: Missed-call text-back is an automation that instantly sends a text message to any caller whose call goes unanswered. It reopens the conversation in seconds, before the caller moves on to a competitor.

Natural language understanding: Natural language understanding (NLU) is the branch of AI that interprets the meaning and intent behind human language, not just the literal words. It lets software grasp what a person actually wants from how they phrase it.

Spam call filtering: Spam call filtering is the detection and blocking of robocalls, telemarketers, and other nuisance callers so they don’t reach you or waste your time. It keeps junk traffic out of your real conversations.
Speech-to-text: Speech-to-text is technology that converts spoken words into written text, often in real time. It’s the transcription step that turns a caller’s voice into something software can read and act on.

Text-to-speech: Text-to-speech is technology that converts written text into spoken audio, generating a natural-sounding voice from words. It’s how software speaks back to a person out loud.

V

Virtual receptionist: A virtual receptionist is a remote service — staffed by people, AI, or both — that answers your business calls, greets callers, and handles or routes them on your behalf. It replaces the need for an in-house front desk.
Voicemail: Voicemail is a system that records a spoken message from a caller when you can’t answer the phone. It preserves the caller’s words for you to retrieve later, but only if they choose to leave one.

W

Warm transfer: A warm transfer is the act of passing a live call to another person along with context about who is calling and why, so the receiver is briefed before they pick up. The caller never has to repeat themselves.
